Grace Covenant Church Facility Use Policy and Regulations

Statement of Faith
We believe in the Bible, the Triune God, the life, death and resurrection of Jesus and His redeeming work. We believe in the  indwelling of the Holy Spirit, our repentance and the forgiveness of our sins, and eternal salvation in Heaven through  Jesus. We believe in the fellowship of believers acting out in service to our communities and the world.  (Summarized Version)

Policies
Grace Covenant Church recognizes that its outreach and ministry can be increased by providing its physical facilities in  support of other organizations and programs designed to serve the community. At the same time, it’s necessary that such  use of facilities and equipment be controlled in the best interests of the church. The intent of this statement is to establish consistent requirements for all groups who intend to use our facilities.

All groups desiring to use Grace Covenant Church facilities must confirm acceptance of the terms herein specified. All  required application forms must be completed and approved by the church. Donations may be made, or fees paid, in cash.  If paid by check, please make check payable to Grace Covenant Church. Renewal of permission to use church facilities will  depend, in part, on satisfactory compliance with requirements during the previous period of use. Groups which use the  facilities on a year-round basis must renew their application each January 1st.

The Leadership Team of Grace Covenant Church reserves the right to accept or deny request of use of church facilities and  to cancel or modify established agreements in the church’s best interests regarding property management, requirements for  use of the facilities for church activities (which shall always have priority), and church relationships with governmental  regulations.

Regulations
1. The using group must be a “nonprofit” or an organization whose purposes and activities contribute to  the welfare of the community. Those who request permission with intent to solicit Grace Covenant  Church members/guests for profitable means will be denied.
2. The objectives of the using group and the activities conducted on church property must not be in  conflict with the mission of Grace Covenant Church as follows:

3. Sponsors or leaders of a using group may not charge a fee or receive monetary remuneration for  services rendered to the group on church property unless specific exception to this rule has been granted  in writing by the Leadership of Grace Covenant Church. However, this does not mean that using groups  may not have organizational dues or assessments to meet operating expenses.
4. Minutes of the 119th Annual Meeting of the Evangelical Covenant Church, June 21-23,  2004:"Human Sexuality and the Marriage Ethic" address the guidelines for Covenant Ministers  regarding human sexuality. To that end, and in keeping with pastoral boundaries, and to maintain  harmony with the ECC position, the Board of the Ordered Ministry and the Council of Superintendents  asks and expects ECC congregations to refrain from allowing their church facilities to be used for same sex marriage ceremonies, unions, and blessings, and all related events.
5. The facilities are to be used in a manner compliant with Colorado non-profit status.
6. Alcoholic beverages, liquor, or other non-physician-prescribed drugs will not be permitted on church  property at any time.
7. Smoking of any kind will not be permitted inside any church building.
8. Firearms or weapons of any kind will not be permitted on church property.
9. Decorations, if used, must be flameproof and shall not be attached to fixed portions of the facilities  (walls) without specific approval in writing.
10. The use of candles or open flames is prohibited. Ceremonial use of candles may be permitted on occasion with specific written approval.
11. Using groups will be responsible for leaving the facilities in such condition that another group may  comfortably use them. The individual, or personal representative for an entity, would ultimately be responsible to make certain that all furniture, tables, and chairs were found in their original condition and the kitchen and kitchen equipment would be wiped down and presentable.
12. The using group shall be held responsible for all loss or damage to church property during periods when they are using the facilities.
13. No equipment or facilities shall be added, modified, moved, or removed without prior written approval.
14. At no time shall equipment or facilities other than those covered by prior approval be used.
15. Permission to use church facilities or equipment shall not include liability on the part of the church for property damage or personal injuries resulting from using group activities.
16. The Facility Use Spreadsheet must be completed and returned to Doris in the church offices before the event date will be confirmed and added to the calendar.
17. Funerals will always take precedence over any scheduled event. In the event a funeral needs to be scheduled over a pre-scheduled event, the group’s representative will be notified as soon as possible after funeral arrangements have been finalized.

Fee Schedule

Grace Covenant Church will consider all requests on a case-by-case basis. Fees for using the buildings and their contents will allow the facilities to be adequately maintained and the required staff compensated. In addition, using groups will have the option to clean the facility (see Regulation #11) or opt to use the church’s janitorial team, at which time these fees would be required.

Entire Facility:
$450 (includes $100 refundable damage deposit)
$150 Administrative Fee

North Building (Worship Center):
$300 (includes $100 refundable damage deposit)
$125 Administrative Fee

South Building (All Meeting Rooms):
$250 (includes $100 refundable damage deposit)
$75 Administrative Fee

South Building:
Single Classrooms $25 each
Upstairs Commons $50
Downstairs Commons $50

*Officiate $200 - $300
*Pianist/Organist $50 - $150
*Soloist $50 - $150
*Media/Sound $50 per person per hour

Janitorial – entire facility $100 per facility (N. and/or S. Buildings)
Janitorial – Commons (S. Bldg) $50
Janitorial – Classrooms (S. Bldg.) $50

*The suggested dollar amounts listed for officiates, musicians, soloists, and media personnel are considered equitable compensation for their services.
